You chose an AI tool last quarter. Before choosing it, who talked to a customer?

Our sales team talks to customers every day. We relied on what they already knew and told us.Two of us met a few customers and front-line staff. We asked what slows them down, then chose.We went with the best-reviewed tool. The vendor’s demo answered our questions, and we wanted to move fast.We sent customers a short survey, read the answers together, and used them to compare three tools.

You plan to automate part of order handling. The people who do it today are worried.

We roll it out first. Talking about it early only feeds the worry; once they see it working, it fades.I explain at a team meeting why we’re doing it and what changes for them, and I take every question.A written note goes to everyone: no jobs are at risk. Managers answer questions.I ask them which parts of the job they’d gladly hand over. Two of them help design and test it.

Your five directors each describe the AI project differently. What happens next?

We take one session to write a single sentence together. Each director repeats it to their team.I write the vision myself and send it by email. They can reply if they disagree.We agree on a list of goals, one per department, in a shared document everyone can read and comment on.I let each director run with their version. Different views are healthy, and the project will clarify itself as it moves.

Six months from now, your board asks if the AI project worked. How will you know?

Our project lead keeps a monthly dashboard: how many people use the tool, and roughly how many hours it saves each week.The vendor sends usage reports. We’ll go through them before the board meeting.Before starting, we picked three measures and noted where we stood that day. Our operations director reports on them monthly.We’ll feel it. If people use the tool every day and nobody complains, that’s the proof we need.

Your AI pilot has run for three months. Usage is high. Customer satisfaction hasn’t moved.

We go back to what customers actually notice. We change the pilot or stop it, and tell the team why.We present the usage figures to the board. That’s the result everyone understands.We ask the team what they think is missing, then adjust the pilot and look again next quarter.We keep going. High usage means the value will show up sooner or later.

Your team now drafts client proposals with AI. Who checks what it produces, and how often?

The account lead reviews every proposal before it leaves. Each week, we share one mistake we caught.Each author rereads their own draft before sending it. They know the client, so we trust them to catch errors.We trust the tool. The drafts look professional, and checking every one would cancel the time we saved.We check when a client points out a mistake, then we fix the instructions we give the tool.

Your AI tool sends a weekly report with dozens of figures. What happens to it?

It lands in a shared inbox. We’d open it if a client or a manager raised a problem.We cut it to the few figures tied to our goals. The team reads them together every Friday.Our IT team reads it each week and emails management anything that looks unusual.The project lead reads it in full and sums it up on one page for the leadership team every month.

The AI recommends option A. Your best team member recommends B. Who decides, and how?

I follow my best person. Experience beats a machine, and I don’t want to lose their trust over it.I hear both, ask each for their reasoning, decide by a set date and write down why.We go with the AI. It has more data than any of us, and it takes the emotion out.I put both options to the team at our next meeting, and we vote.

Your AI tool ranks which prospects sales should call first. Who can overrule it?

Only the sales director can change the order, on request, when there is a clear case for it.Salespeople can skip a prospect, but they need their manager’s agreement first, so we keep control of the order.The list is final. The point is to follow it, so we stop calling on gut feeling alone.Salespeople can overrule it with a one-line reason. Each month, we read the reasons and adjust the tool.
